Wallet Cards
Questions and answers
What are the first steps after my order?
Sign in at www.lumacards.com/dashboard with the e-mail address used for your order and open the Wallet section. In “Your card artwork”, design your card (logo, colour, banner, title), then click Save in the bar at the bottom of the screen: while the artwork is “to approve”, saving it counts as your approval. We then prepare your cards for Apple Wallet and Google Wallet, and the sign-up link becomes active. You can still change the artwork afterwards: you will be asked to approve it again.
How do I give the cards out to my customers or members?
In “Give out your cards”, share the sign-up link or display its QR code, using “Download the QR code” or “Poster (PDF)”, an A4 page in your card's colours; “Button for your website” gives you a code to paste into your website, newsletter or intranet. Each person who opens the link receives the next free card and taps “Add to Apple Wallet” or “Add to Google Wallet”: no app to install. “Pause the link” stops the distribution at any time. When all the cards in the batch have been given out, the link tells your visitors.
How do I send each person their card by e-mail?
Each card has its own personal link, shown in the “Your cards” list. Add the addresses to your Excel or CSV file (the “email” column of the template) or directly in the list, then open “Send the personal links by e-mail”. Write the subject and the message ({prenom}, {nom} and {numero} are replaced for each cardholder), check how it looks with “Send me a test”, then send. A tick box then lets you send a reminder for cards that were e-mailed but not yet installed.
How do I add cardholder names or import my list?
The cardholder name is optional: each card already has its number and code. Type the names in the “Your cards” list (the “Search for a number or a name” field finds a card), or use “Upload an Excel or CSV file”; the “File template” comes in a simple version (name, e-mail, photo, validity) and a full version. Then click Save in the bar at the bottom. The changes reach cards already installed on phones, usually within a quarter of an hour.
How is the card used at the till? Does it count points?
The card shows the number and code (barcode or QR code) chosen when you ordered: your till or scanner reads it just like a PVC card, to recognise the customer or member. The card does not count points or stamps itself: these are managed in your till or loyalty software, based on that number. Lumacards does not see visits to your till.
Can I change the card after it has been given out?
Yes. The artwork is changed in “Your card artwork” (you will then be asked to approve it again), and each cardholder's name, validity date or photo can be updated in the list or by file. Cards already installed are updated remotely in Apple Wallet and Google Wallet, usually within a quarter of an hour: your cardholders have nothing to do.
How do I tell all my cardholders about something new?
In “Message to all your cardholders”, write your message (160 characters at most) and click “Send the message”: it appears on the card and reaches every cardholder's phone as a notification, on iPhone and Android, usually within a quarter of an hour. To remove it, empty the field and send. As an option, on iPhone, the card can appear on the lock screen when the cardholder is near your venue: this setting is off by default and needs your venue's address.
A cardholder has changed phone or left the programme: what should I do?
If they have changed phone, send them their personal link again (in the “Your cards” list): they open their card again and add it to their new phone. If the card should no longer be used, click Deactivate next to its number: it is no longer valid on the phone and its link shows “Card deactivated”. The other cards in the batch are not affected, and Reactivate puts it back into service.
What can I see in my dashboard, and what data is recorded?
At the top of the Wallet section, the counters show the number of cards, assigned, free and deactivated; the status of each card (Free, Assigned, Installed, Deactivated) is shown in the list, which you can download with “Export the list (CSV)”. The data recorded is the card's own: number, optional name (entered by you or by the cardholder when signing up), e-mail and photo if you provide them. Photos are kept for the duration of the service and deleted 12 months after it ends, or as soon as you remove them. You remain the data controller, and Lumacards acts as processor.
What happens at the end of the period I chose?
The end date is shown at the top of the Wallet section (“Active until”) and in Account > Overview. We let you know by e-mail from three months beforehand, and the “To extend” block appears on your Overview page: choose 1, 2 or 3 years, then click Extend, at the current rate. Nothing renews on its own and nothing is charged unless you act. An extension keeps the same cards and the same numbers, and the new date reaches installed cards remotely. Without an extension, the cards stop being valid on the end date; the data is kept for 12 months, and an extension during that time switches everything back on as it was.
