A CSV or Excel file exported directly from your SIS works best β one row per student, one column per field (student ID, first name, last name, programme, validity year, photo filename). Photos should be supplied in a single folder, each file named after the matching student ID. We provide a template on request so your registrar team can map the export cleanly on the first try.
In most cases yes. We produce cards with RFID, NFC, magnetic stripe or contact chip encoding. The critical step is confirming the technology standard used by your existing readers β Mifare Classic, Mifare DESFire, EM, HID iClass or custom frequencies β and the sector or memory allocation format. Share your reader specification or a working legacy card and we validate compatibility before production.
Two approaches are available. Option one: each card carries a writable panel sized for an academic-year validity sticker issued each September β the same card is kept across multiple enrolments. Option two: for secure environments, cards are reissued annually with the new validity year printed directly on the card. The sticker approach significantly reduces long-term cost for degree programmes running over three or more years.
Yes. We organise cards by faculty, programme, intake year or alphabetical order before dispatch β and individually envelope each card with the student's name printed on the envelope. Useful when cards are handed out at orientation-week registration desks or dispatched directly to students by post during enrolment.
Photos should be at least 300 dpi at printed size β around 400 Γ 500 px for a standard portrait zone. Consistent crop and lighting across the batch produce the strongest visual result: portrait orientation, shoulders included, neutral background. We run an automated quality check on the photo set and flag any out-of-spec files before the sample card validation step.
We recommend placing the order 3 to 4 weeks before the first orientation day. This covers SIS export review, sample card validation, full production (6 to 10 working days for standard configurations) and dispatch with a safety margin. For institutions with late enrolment waves, a second express batch can be planned in parallel. Mention your orientation date in the quote request and we propose a production schedule that protects it.
Yes. Once the initial print run is complete, replacement card orders for lost or damaged cards can be placed throughout the year with short lead times β typically 6 to 10 working days. Institutions issuing frequent replacements often set up a pre-approved specification so each reorder only requires the updated student list.
Yes. Student data files are processed under a GDPR-compliant workflow. Data is used exclusively for card production, transferred over secure channels, stored for the minimum period required to complete the order and deleted at the end of the project on request. A data processing agreement (DPA) can be signed with your institution if required by your compliance framework.
Yes. Two design routes alongside print-ready file orders. Template adaptation β share the institution logo, official colours, photo zone position and academic data fields, and we adapt one of our tested student card templates. Full custom design β our designers create the card from scratch including institutional branding, year-by-year colour codes and access feature visuals, with two revision rounds. Both routes are quoted alongside the print order β useful when an institutional rebrand is part of the project.

Custom student card printing
A custom student ID card is the single physical artefact that links a learner to their institution for the duration of their studies. Unlike a generic identity card, a student card must do three things at once: identify the student reliably (photo, name, student ID, validity year), authorise access to campus infrastructure (gates, libraries, canteen, printer quotas) and represent the visual identity of the institution.
