Team Cards

Questions and answers

How do I get my team online?

Sign in at www.lumacards.com/dashboard with the e-mail address used for your order, then open the Team page. Add team members one by one in the “Add a team member” block, or all at once with “Import a list”: download the template, fill in one row per person (at least first name and last name), then import the CSV file. Each profile is linked to one of your spare cards and goes online at once. The logo, colours and language of the profiles are set once for the whole team in “My page”. Up to five colleagues can manage the team with their own address: add them in Account > Colleagues.

How do I edit a profile, or let the team member do it?

In Team, click Edit next to the team member, change their details or photo (PNG, JPG or WebP, 1 MB max) and save: their card shows the updated profile at once, with no reprinting. You can also give them their personal link with “Copy link” or “Send by e-mail”: they can then update their job title, phone, WhatsApp, LinkedIn and photo themselves, without access to the rest of your dashboard. Their name, e-mail and website stay under your control. If the link has been passed around, “New link” disables the old one.

A new team member is joining: how do I add them?

Add them in Team: a spare card is assigned to them and their profile goes online immediately. If the message “No spare card left” appears, order more cards from Order: Team Cards, Team Cards · QR code cards or Team Cards · profiles only. For printed cards, you receive a free proof by e-mail, then your order is dispatched within 6 to 8 working days.

A team member is leaving: what happens to their card?

In Team, click Remove next to their name. Their profile is deleted and their card now shows your company page, with the buttons set for cards without a team member (in “My page”). The card becomes a spare card again, which you can assign to someone else. If the former team member's name is printed on the card, it is best to order a new card for their successor and switch off the old one in “My cards”.

A team member has lost their card: how do I deactivate it?

In “My cards”, click Switch off under their card: it no longer opens the profile and shows “This link is no longer active”. The team member's profile is kept. To give them an active card again, click Edit in Team and choose one of your spare cards in the Card field. If the lost card turns up, click Switch back on.

The NFC card does not respond, or the other person's phone has no NFC: what now?

On iPhone, hold the top of the phone near the card with the screen unlocked; on iPhone 7, 8 and X, open the NFC Tag Reader from Control Centre first. On Android, hold the middle of the back of the phone near the card, with NFC switched on in Settings; a thick or metal case can block the reading. Without NFC, the QR code on the card opens the same profile with the camera. With profiles only, each profile has its own QR code, to download as SVG or PNG in “My cards”.

How can I share a profile without a card: e-mail signature, badge, stand?

In Team, the “E-mail signature” button next to each team member prepares a block with their details, their card link and their QR code. Click “Copy the signature” and paste it into the signature settings of your e-mail tool (Outlook, Gmail, Apple Mail); the HTML code is also available for e-mail tools that ask for it. In “My cards”, each profile has its QR code to download as SVG for print or PNG for screens, to place on a badge, a stand or a presentation.

Where can I find the details left by the people we meet?

On the profile, the other person can save the contact card to their phone and leave their own details. These are sent by e-mail to the team member, if their address is in their profile, and gathered in Team, in the “Details left by visitors” block, where you can download them (CSV) or delete them. You remain responsible for how this data is used, and Lumacards processes it on your behalf: delete any details you no longer need.

How can I follow how the cards are used?

In Team, each team member shows the number of reads of their card, in total and over 30 days, and the date of their last update if they edited their profile themselves. The Overview page shows the last 30 days: reads per day, by card and by country. For the full history, Account > Your data offers the Team (CSV), Visitor details (CSV) and “Activity: reads, taps and ratings (CSV)” exports. Reads are recorded without any personal data about the people who open the cards.

What happens at the end of the period I chose?

The end date is shown in Account > Overview (“Next end of validity”) and under each card in “My cards”. We let you know by e-mail from three months beforehand, and the “To extend” block appears on your Overview page: choose 1, 2 or 3 years, then click Extend, at the current rate. Nothing renews on its own and nothing is charged unless you act. Without an extension, the cards show “This link is no longer active” from the end date; the profiles and your data are kept for 12 months, and an extension during that time switches everything back on as it was.
