Public sector cards: fixed quotes, VAT invoices, GPC accepted

Councils, NHS trusts, schools, universities, housing associations, charities

Councils, NHS trusts, schools and academies, universities, housing associations, charities and public bodies in the UK and Ireland: we supply membership cards, staff and visitor badges, event accreditation and RFID/NFC access cards on a simple written quote, with a proof before production, a VAT invoice from our UK company and delivery duty paid. Below the publication thresholds of the Procurement Act 2023 (currently £12,000 for central government and £30,000 for other contracting authorities), a quotation is all your buyer needs; in Ireland, purchases under €5,000 need no formal quotes and up to €50,000 three quotes are usual.

Why this page exists

A card supplier that understands public procurement paperwork

A public buyer has no time to chase a printer for an invoice in the right format or a missing PO number. Since 2009 we have produced cards and badges for public bodies of every size in France and the UK: we know what a finance team, a school office or a facilities manager expects, and we provide the documents before they are asked for.

Public sector FAQ

Frequently asked questions from procurement and finance teams

Do you accept purchase orders?

Yes. Send the purchase order with the signed quote; its number appears on the VAT invoice. Payment is still due on order, by GPC or other purchasing card, credit or debit card, or bank transfer.

Can you invoice ex-VAT?

UK public bodies pay VAT like any customer; the invoice shows net, VAT and gross. Irish bodies with a VAT number: intra-EU reverse charge where applicable, stated on the invoice.

Are you on Crown Commercial Service frameworks?

We supply directly on quotation below the publication thresholds of the Procurement Act 2023. Framework listings are in progress; until they are confirmed we do not claim membership.

What are the lead times for badges or membership cards?

Standard PVC cards: 6 to 10 working days of production after proof approval, plus 2 to 3 working days of tracked transit to the UK with customs handled by us. Express production of 2 to 4 working days is available on standard configurations. RFID/NFC cards are quoted and scheduled on request after a compatibility check with your readers.

Can you deliver to several sites?

Yes, on quotation: for example the badges of each school in a trust or the cards of each branch library, with tracking per parcel.
