What goes on a student ID card
- The photo : printed in black, from the photos in your file, one per student.
- Surname, first name, number : in black, from your Excel file, one row per card.
- A code only if needed : most student ID cards do without one; a barcode or QR code can be added for the library or canteen, printed in black.
- The year : 2026-2027 in the design, or no date if the card is used for the whole course of study.
- The back : the institution’s contact details, a signature area and instructions in case of loss.

Variable data
Different on every card, always in black
Barcode, QR code, number, and for student ID cards the photo and name: this data changes from one card to the next. We print it in black, on a light area of the design, from your Excel file.
Areas to be filled in by hand (amount, name, signature) are always on a light background. On paper, you write on them directly. On PVC, this is rare: as an option, they are printed on a signature panel, like the signature strip on a bank card; otherwise we replace them with your text. Stamp cards, for their part, are printed on card.

Your questions about student ID card templates
How do I send you the photos and data?
An Excel file (one row per student) and a folder of photos named with the student number. We check the file and send you a proof of a few cards.
Why are the photo and data in black?
The details specific to each student (photo, name, number, code) are personalised in black, card by card, on the design printed in colour. The design itself takes on all the colours of your brand.
Are student ID cards available in paper or in portrait format?
No: a student ID card is used all year round, often for the whole course of study. We print it on 0.76 mm PVC, the landscape credit card format, or as a write-on card with adhesive film for the handwritten version.
Can a chip be added for access control or the canteen?
Yes: contactless chip or magnetic stripe. See our chip cards.
Do the templates cost extra?
The template is not charged separately: adapting it to your logo and text is priced together with the printing, in your quote.
Can the colours, font or layout be changed?
Yes. We use your brand’s colours and typography. If you would like an entirely new design, say so in your request: we will quote for a bespoke design.
Can the templates be downloaded?
The templates are not available for download: we adapt them for you and send you a proof. If you already have your file, simply attach it to your request.
What is the minimum quantity?
From 50 cards.
Why is the QR code or barcode in black?
This is variable data, different on every card: it is printed in black, on a light area, so that it stays sharp and readable by scanners. A visible number can be added on request.
What is the lead time?
6 to 10 working days of production after proof approval, then delivery. For a specific date, state it in your request.
