How we work with event teams

From brief to launch day in four clear steps

Brief and attendee data review for an event card project

1. Brief & attendee data

We map the programme: badge categories (attendee, speaker, sponsor, press, VIP), volumes per category, encoding requirements and the non-negotiable event date.

Design and proof validation for an event badge

2. Design & proof

You send your event identity or we adapt it to badge, lanyard and pass formats. A digital proof is approved before production, with two revisions included.

European production setup for event badges and lanyards

3. Production & QC

European production with centralised quality control and scan testing on encoded batches. Paper badges in 4 to 6 working days, PVC passes in 6 to 10. Express available.

Secure dispatch of event badges to venue and registration desk

4. Venue dispatch

Delivery to the venue, the registration desk or your office, with tracking and packaging that survives transport. Files kept on file for next-year rerun.

Why event card programmes matter

An event badge has to work the first time, every time

On opening day, there is no second chance. The badge has to scan at the entrance, identify the attendee category at a glance, hang from the right lanyard, survive coffee spills and a full day of handling. If it fails — at the door, at the buffet, at the speaker check-in — the whole event team feels it. Lumacards specialises in producing those small objects that absolutely cannot fail when 500 or 5 000 people show up at the same time, on a date that does not move.

Event card production across the European union

Conference organisers, festival promoters, trade show producers, corporate event teams, agencies and venue managers across Europe rely on Lumacards for the production of badge holders and lanyards, paper attendee badges, VIP and press passes, RFID access cards and multi-day PVC passes. From one-day seminars to multi-day festivals and trade shows, every project is calibrated to the date the event opens its doors.

High-volume event programmes typically combine variable data (attendee names, company, category), category-specific colours and scan-reliable encoding (barcode, QR code, NFC or RFID), with supporting badge holders and lanyards produced in matching branding. Production runs through our European partner network with centralised quality control. Indicative lead times are detailed on our delivery times reference; for a sector-specific recommendation, the fastest path is to share your brief through our quote form.

Festivals, trade shows & multi-day events

Card programmes for high-volume multi-day events

Festivals, trade shows, multi-day exhibitions and large-scale conferences have specific demands: thousands of accreditations delivered in a single shipment, encoded passes that survive several days of handling, distinct categories that have to be recognisable at a glance from a distance. Lumacards supports these productions with batch optimisation, multi-category coordination and the ability to reproduce the exact same look year after year.

Festival multi-day passes

PVC passes with RFID encoding for cashless payments, multi-day access and re-entry control — ideal for 2-day to 5-day festivals and outdoor events.

Events FAQ

Frequently asked questions from event teams

What is the minimum order quantity for event badges?

Paper attendee badges start from 250 units. PVC VIP and press passes start from 100 cards. Badge holders and lanyards are available from 100 pieces. For very small events, smaller pilot runs can be discussed.

How fast can you deliver for an urgent event?

Standard lead times are 4 to 6 working days for paper badges and 6 to 10 working days for PVC passes. Express options bring this down to 2 to 4 working days on most products. The earlier you brief us, the more flexibility we have on finishes and packaging.

Can you encode RFID or NFC chips for festival passes?

Yes. We produce contactless smart cards with NFC or RFID chips encoded for access control, cashless payment systems and re-entry tracking. Encoding parameters are validated with your access provider before production.

Can each badge carry the attendee's name and category?

Yes. Provide a CSV or Excel file with one row per attendee (name, company, category, barcode or QR code value), and we will produce badges with unique variable data and category-specific design variants.

Do you supply lanyards in matching brand colours?

Yes. Lanyards are available in flat, woven, tubular and bamboo finishes, in custom Pantone colours and with one-colour or full-colour printing — produced in matching runs with the badges.

Can you deliver directly to the event venue?

Yes. We regularly ship to event venues, registration offices and on-site contacts. Tracking is provided per delivery, and packaging is designed to survive transport and on-site handling. Date and address windows are agreed in advance.

Can you produce supplementary badges during the event?

Yes. Project files are kept on file. Supplementary badges for late registrations, last-minute speakers or replacements can be launched as follow-up orders without redesign — production cycles permitting.

Can you reproduce the same event design next year?

Yes. Project files (artwork, encoding parameters, finish specifications) are kept on file for several years. A rerun for the next edition of your event can be launched without going back through the design phase.
